Blackfoot Resource Hub - Management Department

Term (1 Year with possible extention)

GENERAL DESCRIPTION:

The Blackfoot Resource Hub Administrative Assistant will be responsible for a range of administrative duties in support of the Blackfoot Resource Hub team. They will be responsible for maintaining the overall flow of the Blackfoot Resource Hub, as they will be the central point of contact for clients and the public. They will work as part of the Blackfoot Resource Hub team and under the direction of the Blackfoot Resource Hub Manager.  The incumbent is responsible for answering all incoming calls and directing to the appropriate personnel and directing employee or public inquiries as required.  The incumbent provides clerical support to all Blackfoot Resource Hub staff such as ordering office supplies, typing letters and memos, transcribing minutes and distribute to team in a timely manner, creating and maintaining a filling system, keeping record of all financial statements and receipts. In addition, the incumbent organizes logistics for the Blackfoot Resource Hub programs including, helping with the set-up and take-down of cultural programs, creating posters for cultural programs and assisting with maintaining monthly program calendar and all social media platforms. The incumbent should professionally interact with all staff and work well unsupervised.

 

 

ORGANIZATIONAL RELATIONSHIPS:

  • The Administrative Assistant reports directly to Blackfoot Resource Hub Manager.

 

 

MAJOR DUTIES AND RESPONSIBILITIES:

  • Performs all duties and responsibilities in accordance with the Blood Tribe Administration Policies and Procedures

 

  •  Assists all Blackfoot Resource Hub staff on administrative tasks. 

 

  • Operates the switchboard for the Blackfoot Resource Hub, directs and screens the calls to the requested or appropriate employee, taking messages for employees when necessary and ensures they receive the messages promptly.

 

  • Greets clients and public on the telephone or entering the Blackfoot Resource Hub in a courteous manner and directs or assists clients and the public in contacting the appropriate or requested employee.

 

  • Assists Cultural Specialists with the set-up and take down of program supplies when groups are happening at the Blackfoot Resource Hub.

 

  • Sending invoices and collecting receipts.

 

  • Maintains incoming and outgoing mailing lists.

 

  • Ability to generate job description for Administrative Assistant position after a three-month period.

 

  • Books meeting rooms and makes all necessary travel arrangements for Blackfoot Resource Hub staff.

 

  • Attends meetings as required and must be proficient in composing minutes for the Blackfoot Resource Hub. Send out meeting minutes to all staff by the end of the week.

 

  • Develop and maintains the filing system for the Blackfoot Resource Hub.

 

  • Orders office supplies and equipment for Blackfoot Resource Hub as required.

 

  • Prepares the payroll for the Blackfoot Resource Hub staff and submits on a bi-weekly basis to the appropriate department.

 

  • Assist with any other duties as assigned.

 

 

NECESSARY KNOWLEDGE, ABILITIES AND SKILLS:

  • Understanding of the Blackfoot Culture and Language.

 

  • Be able to deal compassionately and professionally with clients coming into the Blackfoot Resource Hub.

 

  • Assist Elder’s coming into the Blackfoot Resource Hub in a respectful and courteous manner.

 

  • Proficient with Microsoft Office (Outlook, Word, Excel, Power Point, Publisher).

 

  • Working knowledge of office equipment, like printers and fax machines.

 

  • Attention to detail and problem-solving skills.

 

  • Excellent organizational skills based on deadlines.

 

 

  • Have excellent verbal communication and listening skills.

 


Qualifications

NECESSARY TRAINING AND EXPERIENCE:

  • Must have a two-year Administrative Assistant Diploma with a minimum of three years related work experience.
  • A combination of relevant education and experience may be considered.
  • Must have a Class 5 Drivers License and reliable mode of transportation.
