Tribal Governmant & External Affairs

GERNERAL DESCRIPTION:

The Administrative Assistant under the guidance of the Tribal Government Coordinator will play an integral role in the day-to-day coordination of activities related to the operations of the Tribal Government & External Affairs Department. The Incumbent acts as the first point of contact for Tribal Government & External Affairs inquiries and directs them to the appropriate staff. The Incumbent provides clerical support such as typing letters and memos, taking and transcribing minutes, filing and record keeping. In addition, the Incumbent organizes logistics for Department events including, scheduling meetings and making travel arrangements, training, workshops, conferences, and information sessions.

 

ORGANIZATIONAL RELATIONSHIPS:

  • Reports directly to the Tribal Government & External Affairs Coordinator.

 

AREAS OF SUPERVISION:

  • Positions that report directly to the Administrative Assistant include:

                            - None 

 

MAJOR DUTIES AND RESPONSIBILITIES:

  • Performs all duties and responsibilities in accordance with the Blood Tribe Administration Policies and Procedures and the Tribal Government Affairs Operations Manual.
  • Books the meeting rooms and makes all necessary travel arrangements for Tribal Government staff and Committee members attending meetings, workshops and conferences.
  • Prepares travel expense claims for department and committee members.
  • Types correspondence and reports for Tribal Government & External Affairs Coordinator from rough drafts, and general instructions, editing and formatting material when necessary
  • Answers and screens all incoming telephone calls for the Tribal Government & External Affairs Director, taking messages when necessary.
  • Maintains record keeping of accounts receivable and payables for the Tribal Government & External Affairs Department.
  • Collects and distributes mail.
  • Manages all Incoming and outgoing correspondence for the Tribal Government & External Affairs Coordinator and maintaining a record of all incoming and outgoing correspondence.
  • Maintains the filing system for the Tribal Government & External Affairs Department, re-categorizing and opening and closing files when appropriate.
  • Records and transcribes minutes for the Tribal Government & External Affairs Department at Committee Meetings.
  • Attends meetings as required.
  • Assists with Tribal Government & External Affairs projects and events and undertakes responsibility for tasks as assigned.

 

NECESSARY KNOWLEDGE, ABILITES AND SKILLS:

 

  • Must be highly motivated and able to work independently.
  • Must possess a high-level of organizational skills.
  • Must possess excellent verbal and written communication skills
  • Must be polite and friendly and possess excellent interpersonal skills
  • Must be able to type sixty words per minute.
  • Must possess a working knowledge of Microsoft Office Suite and other basic computer software.
  • Must have excellent filing and recordkeeping skills
  • An understanding and appreciation of Blood Tribe culture, traditions and protocols is an asset.
  • Ability to communicate effectively in the Blackfoot language is an asset.

Qualifications

NECESSARY TRAINING AND EXPERIENCE:

  • Must have a two-year Administrative Assistant Diploma with a minimum of three years related work experience or a one-year Administrative Assistant Certificate with a minimum of 4 years related work experience. 
  • A combination of relevant education and experience may be considered.
  • Must have a Class 5 Drivers License and reliable mode of transportation.
