Job Description

GENERAL DESCRIPTION:

The Administrative Assistant assists the Senior Finance Officer in the maintenance of departmental programs and undertakes responsibility for administrative projects as assigned. The incumbent independently performs administrative duties such as typing correspondence, taking and transcribing minutes, filing and record keeping, formats and edits materials as necessary. In addition, they will organize logistics for the department events including, scheduling meetings and making travel arrangements, training and workshops, conferences and information sessions.

 

ORGANIZATIONAL RELATIONSHIPS:

- The Administrative Assistant reports directly to the Senior Finance Officer

 

AREA OF SUPERVISION:

- Positions which generally report to the administrative assistant include summer students

 

MAJOR DUTIES AND RESPONSIBILITIES:

  • Perform all duties and responsibilities in accordance with the Blood Tribe Administration Personnel Policy and Procedure manual and the Finance Department Operations Manual. 

 

  • Answers and screens all calls for the Senior Finance Officer, taking messages when necessary.

 

  • Schedules appointments for individuals requesting to see the Senior Finance Officer and maintains appointment schedule.

 

  • Composes and answers routine correspondence

 

  • Assist with data entry when necessary.

 

  • Types materials such as letters, memos, minutes from rough drafts, general instructions and shorthand notes, formatting and editing materials as necessary.

 

  • Takes and transcribes minutes for the Finance Department meetings.

 

  • Assists Blood Tribe Administration Accountants with information when necessary.

 

  • Mails, faxes, photocopies, and files documents as appropriate

 

  • Prepares packages and compiles information as required for meetings

 

  • Updates vacation leaves and summarize timesheets on spreadsheets for Finance Department employees

 

  • Types budgets and budget guidelines as directed by the Senior Finance Officer.

 

  • Markes travel arrangements, reserves and schedules facilities and meeting rooms as necessary for the Senior Finance Officer and Finance Committee.

 

  • Orders office supplies and equipment for the Finance Department.

 

  • Attends meeting as required.

 

  • Any other duties as assigned

 

NECESSARY KNOWLEDGE, ABILITIES AND SKILLS:

 

  • Ability to deal diplomatically and professionally with staff and general public.

 

  • Familiarity with laser fiche would be an asset.

 

  • Must possess excellent verbal and written communication skills

 

  • Must have basic accounting skills and knowledge of the latest accounting software along with some working knowledge of excel.

 

  • Must have excellent interpersonal skills.

 

  • Proficient analytical and organizational skills.

 

  • Must have excellent filing and record keeping skills.

 

  • Motivated and able to work independently or as part of a team.

 

  • Must possess a working knowledge of Microsoft Office Suite and the latest outlook & teams’ software.

 

  • Must be prompt and courteous

 

  • An ability to communicate effectively in Blackfoot would be considered an asset.

Qualifications

NECESSARY TRAINING AND EXPERIENCE:

  • Must have a two-year Administrative Assistant Diploma with a minimum of three years related work experience.
  • A combination of relevant education and experience may be considered.
  • Must submit an updated criminal record check.
  • Must have a Class 5 Drivers License and reliable mode of transportation.
