Niitsitapi Employment Centre (Lethbridge Location) - BTEST 

GENERAL DESCRIPTION:

The Front Desk Receptionist / Administrative Assistant is the first point of contact for clients, employers, and community partners accessing Niitsitapi Employment Centre services. The position provides a welcoming, respectful, and culturally appropriate environment; while supporting client intake, service navigation, administrative functions, and daily office operations. This position will also support staff with client records, data entry, reporting, workshops, employment events, and other program activities.

 

AREA OF SUPERVISION:

•  Reports to the Manager, CEIS Program.

 

MAJOR DUTIES AND RESPONSIBILITIES:

  • Performs all duties and responsibilities in accordance with the Blood Tribe Administration Policies and Procedures Manual.

 

FRONT DESK & CLIENT SERVICES

•  Welcome clients, visitors, employers, and community partners in a professional and culturally respectful manner.

•  Respond to incoming phone calls, emails, and general inquiries.

•  Provide basic information about employment services, workshops, training opportunities, and community supports.

•  Support client intake, appointment scheduling, and sign-in procedures.

•  Assist clients with forms, applications, and basic service navigation as required.

•  Maintain a welcoming, organized, and client-focused reception area.

 

ADMINISTRATIVE SUPPORT & REPORTING

  • Maintain electronic and paper filing systems in accordance with organizational and confidentiality standards.
  • Assist with data entry, scanning, document preparation, and administrative reporting.
  • Assist with maintaining accurate client records and documentation.
  • Support Compass data entry and internal administrative processes as required.
  • Assist staff with correspondence, meeting coordination, and document preparation.
  • Support tracking and reporting activities related to client services and program delivery.

 

OFFICE OPERATIONS & PROGRAM SUPPORT

  • Support daily office operations and internal communications.
  • Maintain office supplies, mail distribution, deliveries, and reception area organization.
  • Assist with workshops, employment events, career fairs, information sessions, and community outreach.
  • Support coordination of client appointments, partner meetings, and information sessions.
  • Assist staff and management with special projects and operational activities.

  • Maintain confidentiality in accordance with organizational policies and applicable privacy requirements.
  • Support culturally responsive and client-centered service delivery.
  • Maintain positive and professional working relationships with clients, staff, employers, and community partners.
  • Any other duties as assigned.

NECESSARY KNOWLEDGE, ABILITIES AND SKILLS:

  • Strong communication, customer service, interpersonal, and organizational skills.
  • Ability to work professionally with clients, employers, community partners, and staff.
  • Strong attention to detail and ability to maintain accurate records.
  • Ability to handle confidential and sensitive information appropriately.
  • Proficiency in Microsoft Office and general computer systems.
  • Ability to work independently and as part of a team in a busy office environment.
  • Knowledge of employment services, community resources, and local services is an asset.
  • Cultural awareness and ability to provide respectful service to Indigenous clients and community members.
  • Must have excellent Customer Service skills
  • Experience in reception, administration, customer service, or a client-facing environment.
  • Experience with Microsoft Office and general office technology.
  • Experience working with Indigenous communities or Indigenous-serving organizations is preferred.
  • Experience working with individuals facing barriers to employment is an asset.
  • Knowledge of employment, training, workforce development, or community support services is an asset.

Qualifications

NECESSARY TRAINING AND EXPERIENCE:

  • Must have an Administrative Diploma with 3 years’ related work experience.
  • A combination of education and experience may be considered
  • Must have a valid drivers license and a reliable mode of transportation
